EXHIBITOR GUIDELINES
Leading Together 2010 offers skills training and networking opportunities to a large target audience. Exhibitors at this national event can reach a wide range of individuals working in the HIV/AIDS field.

Over two days - Friday and Saturday of Leading Together 2010 – the centrally-situated Exhibit Hall will be open to over 800 Leading Together 2010 attendees.

Please note that exhibitors will only have access to the Exhibit Hall, and must register for Leading Together 2010 if they are interested in attending workshops and poster sessions.

FOR ALL EXHIBITORS - A first-come, first-served policy applies to ALL would-be exhibitors.


HOURS OF OPERATION
The Exhibit Hall will be open:

• Friday, March 5, 2010 (9:00 am to 6:30 pm)
• Saturday, March 6, 2010 (9:00 am to 6:30 pm)

EXHIBIT BOOTH SIZE, EQUIPMENT AND SIGNAGE
• Exhibit areas will be 8 feet long by 10 feet wide;
• Upon request, 1 skirted table will be provided, while quantities last;
• 2 chairs per exhibit area will be provided;
• Any other equipment, electrical needs or signage can be provided at an extra charge;
• Storage will be made available on the Wednesday and Thursday evening prior to the opening of the Exhibit Hall.

Please indicate well in advance any greater than average storage requirements.


LIABILITY
Each exhibitor agrees to protect, indemnify and hold harmless the Symposium (Canadian AIDS Society), its sponsors, partners, staff and the Delta Centre-Ville from any and all claims, liabilities, damages or demands which may arise from the exhibition.


INSURANCE
It shall be the responsibility of each exhibitor to maintain insurance coverage against injury to persons, or damage to, or loss of property or to meet its obligations under this agreement in such amounts as the exhibitor shall deem adequate. Leading Together 2010 organizers will not provide insurance.

If you are assisting someone in another location who does not have access to the internet, please download the pdf. version of the exhibitor application form, send it to them requesting a prompt return. Once the form is returned to you, in an effort to expedite their application for exhibitor space and their registration, you can create their on-line profile on their behalf and submit all their required forms, using the information they have provided on their forms.

Please note that all exhibitor applications received by mail or fax will be manually entered in to the on-line system, to facilitate administrative requirements. The email address indicated on the any of the forms will receive an auto-reply message thanking them for their submission, and reminding or advising them of their username and password. Please keep that email on-file for future reference.
